Filing Photos on Your PC

Find Photos in less than 1 minute on your Computer - including those from past years!

Are your digital photos organised?
Are the file names meaningful?
Can you find any photo within 1 minute?

If you answered NO to any of the above, read on.

Make a resolution that all photos from this point onwards will be organised!

My father didn't believe me when I said I could find any photos in less than a minute. So we did a few test runs. He told me a selection of photos from the past 2 years. Each was found within 20 seconds. (To be honest, that even impressed me!). As far as the number of photos that I have on file, let's just say there are QUITE a few!

The Process:

  1. Take photos
  2. Create a sub folder (see below)
  3. Copy photos into the sub folder and rename the photos at the same time (see below for naming your files)
  4. Delete! Delete! Delete!
    Before you do anything with your photos, delete the photos you don't want. If you find this difficult, sit down with your partner to do it. Doing it straight away will save you a lot of pain in the long run.
  5. Put your photos in an album or send them to Sunrise Creations to create a beautiful Coffee Table Book.

Create folders and sub folders for your photos

The folders should be the general subject, eg. Holidays, Days Out, Christmas, Family etc. The Sub folders will further clarify what is in them:

For example:
In the Christmas folder, the next level would be the year, below that the various parties or gatherings that you celebrate.

It at is this lowest level that you copy your photos on to the computer.

Naming your sub folders:
A general rule for things like holidays, days out and family functions would be to include:

  • Sequential number (start with 01, 02, 03...99)
  • Subject
  • Month
  • Year

Naming Your Photos

Your file names should mean something; IMG_1236 is not a meaningful name!

Where you have one folder per subject, use the folder name as the file name, with a sequential number after it. Most photo software programs will come with the ability to do this.

Sequential Number:
For up to 99 photos use a 2 digit sequential number, for more than 100 use a 3 digit (i.e. 001, 002... 123)
